Account information: name, email address, country of origin, destination university, visa type, expected arrival date.
Profile and usage data: tasks completed, checklist progress, AI Concierge conversations, app feature usage.
Documents: files you choose to upload to the Document Vault (e.g. CAS letter, visa decision). These are stored encrypted and are only accessible by you.
Community content: posts and replies you submit publicly in the community.
Device and technical data: IP address, device type, OS version, app version, crash reports. Collected automatically for service operation and improvement.
3. Why we use your data
- To provide the service — personalising your checklist, powering the AI Concierge, storing your documents.
- To improve the service — understanding how features are used and diagnosing technical issues.
- To communicate with you — account notifications, support responses, important product updates.
- To ensure safety — detecting and preventing fraud, abuse, and violations of our terms.
4. Legal basis (UK GDPR)
- Contract: processing necessary to provide the service you signed up for.
- Legitimate interests: service improvement, security, and fraud prevention.
- Consent: optional communications such as product news (you can withdraw at any time).
5. How long we keep your data
We keep your data for as long as your account is active. After deletion, most data is removed within 30 days. We may retain anonymised or legally required records for up to 90 days. Document Vault files are deleted immediately upon account deletion.

We do not sell your personal data. We may share data with:
- Cloud infrastructure providers (e.g. hosting, database) — under data processing agreements.
- Analytics tools — to understand usage patterns using aggregated or anonymised data only.
- Legal authorities — if required by law or to prevent imminent harm.

Your data is stored on servers located in the United Kingdom or European Economic Area. Where transfers outside these regions are necessary, we ensure appropriate safeguards are in place (e.g. UK adequacy decisions or standard contractual clauses).

Settl is not intended for children under 16. We do not knowingly collect data from anyone under 16. If you believe we have done so, please contact us immediately.

We may update this policy. We will notify you of significant changes via the app or email. The "last updated" date at the top of this page reflects when changes were last made.
